Agenda Item #40 Title SARASOTA COUNTY SCHOOLS PURCHASE OF PHASE 2 DESKTOP AND NOTEBOOK COMPUTERS AND SERVICES FROM HEWLETT-PACKARD COMPANY Description Hewlett-Packard Company has provided This Agreement provides the district with a turnkey leasing solution for computer replenishment that provides the best of product and services. It is based on a 5-year lease for equipment utilization, management, warranty, repair and support. Key benefits of this agreement are: o Baseline pricing below WSCA for all computer models and accessories o Five-year warranty and replacement cycle o Ownership never transfers to District o HP donates end of cycle computers to Texcellence program o HP handles break/fix of computers thus allowing district staff to perform higher level technical services o HP handles full-life cycle support (imaging, deployment, cleaning and disposal) o Puts all schools on new equipment cycle as opposed to haphazard equipment distribution and allocation methods to date o Eases support burden by placing district entirely on a few platform variants of one computer brand, a brand with a large portion of our inventory today o Saves District more than a million dollars in capital costs during the next two years Last year, it was originally planned to purchase and deploy computers over a 3 year time period totaling approximately 8500 computer/year. Due to budget reductions, the plan was reduced to a smaller number of units over a 5 year time period. In 2009, the District leased approximately 8,630 computers for 16 schools. Computers removed from these schools and less than 6 years of age were redeployed to other District schools. Similarly, though on a smaller scale, this year's lease encompasses approximately 4236 computers across 6 schools with the same redeployment plans occurring from computers obtained at these schools. All computers greater than 5 years old will be first made available to our Texcellence program prior to releasing them to a recycler for disposal. Computers less than 6 years old will be redeployed to schools planned for future phases.
Recommendation It is recommended that the proposal from Hewlett-Packard Company be approved for award and purchase. Contact LEMPE & COLLESANO/CORCORAN Financial Impact This is for Year 2 of the replenishment program and to proceed with the purchase of 4236 units.
